In this video by our Dynamics 365 CRM support team, we'll look at how to enable business process flows in Microsoft Dynamics 365 for Sales.
Business process flows are useful for standardizing how your team tackles particular tasks. Basically, they serve as guides for how to get things done.
For example, you could create a business process flow to handle multi-department tasks like credit application processing. Or, you could create a business process flow to standardize your customer service practices.
If your company uses standardized procedures for any of your customer-facing work, odds are you can build many of those procedures in Dynamics as business process flows.
But when your team creates a new business process flow, not all of your users will see or be able to use that new process right away.
So our team created this short video to explain how to enable business process flows in Dynamics 365:
Enabling a business process flow is a security-based issue, so we'll need to enable the business process flow for each security group that needs access to it. To do so:
1.) Go to Settings > Security > Security Roles.
2.) Choose the security role you wish to enable your process in.
In my example, I want to enable a business process flow for users in the "Salesperson" role, so I chose "Salesperson."
3.) Click on the Business Process Flows tab:
From this screen, we can see which business process flows are available to users in this security role.
In my example, I want to enable "Opportunity Sales Test Process" for users with the "Salesperson" role. As you can see in the image above, that process is currently disabled for those users.
4.) Give the security role business unit OR full organization access:
In my example, I gave users with the "Salesperson" security role full organization access.
5.) Click Save and Close.
Once an administrator has enabled a new business process flow for each security role that will use it, your users have a new process option. The default business process flow will still show up first on your records, but if a user wants, they can go ahead and switch to the new business process flow by following these simple steps:
1.) From a record of the entity type associated with your new process, click Process > Switch Process:
2.) Choose the business process flow you want to use and click Select:
If a user doesn't see the business process flow they want to use, their security role probably doesn't have access to that process. An administrator will need to follow the steps above to enable that business process flow for their security role and grant them access.
